TEN x TEN is an award-winning landscape architecture and urban design office based in Minneapolis, MN. Our practice is grounded in a shared curiosity and passion for experimentation and agency. Who we are looking for:
TEN x TEN seeks a highly motivated, organized, fun, and collaborative person to be our office manager and a key team member. As office manager, you’ll work closely with the team to support client needs; while managing the physical, electronic, and social environment of our open office space. You’ll report directly to the leadership team. You are highly organized with excellent communication skills, and comfortable working in a small, entrepreneurial environment that is mission-driven to co-create compassionate, immersive, and resilient spaces that confront the issues of our time. An ideal candidate is self-motivated, a team player, and willing to learn new skills.
In addition to general office management, an experienced office manager will support the principals and project leaders to succeed in their project delivery engagements. A qualified candidate is knowledgeable about standard bookkeeping and accounting practices and can apply this knowledge to project accounting, as well as coordinate work with the firm’s outside bookkeeper and accountant. Excellent verbal and written skills are a must, along with the ability to work independently.
Responsibilities will include:
General Office
Receive in-person clients and visitors.
Receive and distribute incoming mail and deliveries; manage outgoing mail and deliveries.
Assist firm partners and staff with scheduling and miscellaneous project-related tasks.
Manage office calendar and vacation requests.
Assist with management of studio materials library.
Coordinate firm events (team gatherings, ‘lunch and learns’, etc.).
Lead maintenance and preparation of vendor contracts and negotiations. (phone, printer, internet, etc.).
Support and coordinate payroll with the bookkeeper.
Office Administration
Coordinate with benefit providers including insurance and 401K.
Assist firm partners with lectures, conferences, outreach, and travel.
Maintain office filing systems (small paper system and digital).
Manage our “Magic Manual” (employee handbook) and HR files.
Maintain our recruiting database and correspond with employment applicants.
Lead on-boarding of new staff.
Lead and manage professional licenses and registrations for all employees.
Maintain standardized office forms and firm contacts list via a CRM (Client Relationship Management platform).
Lead specific office projects (non-design software migration, office moves, and other initiatives).
Coordinate state-required training.
Manage office certifications (WBE, CERT, etc.).
Project Administration
Become familiar with CMap project management software.
Manage the invoice process and coordinate with the bookkeeper.
Track the status of all projects in relation to budget and schedule.
Become familiar with all active projects in the office.
Communicate regularly with project teams about progress of project relative to budget and schedule.
Contribute to new project proposals and set up internal operations for all new projects.
Support project managers in project planning and data entry into CMap.
Create and manage standardized forms and processes to facilitate efficient operations of the firm.
Qualifications
Professional experience in a design practice is highly desirable.
Fluency with Microsoft Office applications. Familiarity with Quickbooks. The ability to learn and assess new software is highly beneficial.
Team-oriented with superior verbal and written communications skills.
Ability to manage time and prioritize work in a fast-paced environment with tight deadlines and multiple concurrent projects.
Proactive communication, strong work ethic and solutions-oriented ideas are highly valued.
Compensation
Salary range for this position is $60,000 to $75,000 depending on qualifications and experience.
Location
Minneapolis 4 days/week, work from home 1 day/week.
